How should vegan hotels and restaurants keep website, menu, GBP, and OTA copy EmpCo-safe without going silent on sustainability?
Quick answer
Crawl every EU-facing line guests see: homepage and stay pages, menu (web, PDF, QR), Google listing, lodging vegan-meal attributes, OTA description, and confirmation email. EmpCo is the live EU rule for vague green claims in B2C guest copy. Keep named certs and operational facts. Delete generic "eco-friendly hotel," "green stay," "climate-neutral dinner," homemade badges, and offset-only carbon-neutral nights. Do not invent LCA numbers. Do not go silent on a vegan kitchen you can prove. Pair with EU green claims, EmpCo Shopify checkout (product only), and vegan menu labels.
Vs other guides
| Guide | Job |
|---|---|
| EmpCo Shopify checkout | Checkout, shipping titles, hang tags for product DTC. Not lodging or menus. |
| EU green claims | Ads and PDPs that reach EU shoppers for products. |
| Vegan menu claims | Vegan vs plant-based vs allergen on the dish. This guide is environmental claims on the card and OTA. |
| Vegan hotel direct bookings | Direct vs OTA mix and member rates. Reuse the claim freeze; this page is the EmpCo crawl. |
| Retreat green claims | Retreat stay, wellness, and detox language. Not restaurant menus or hotel OTAs. |
| Vegan restaurant Google listing | Maps category and photos. Fold GBP description into this crawl; do not recook GBP. |
| This guide | Keep / rewrite / delete sheet for website, menu, GBP, lodging attributes, OTA, confirmation email |
This is ops, not legal advice. Confirm with counsel for each market you sell to.
What EmpCo requires for hotels and restaurants
Member states applied EmpCo (Directive (EU) 2024/825) from 27 September 2026. The job now is ongoing copy hygiene on every EU-facing guest surface. EmpCo treats certain green commercial practices as unfair by default. For vegan hotels and restaurants that market stays or meals to EU consumers, the practical effect is: do not use vague environmental praise unless you can prove excellent environmental performance with recognized criteria (typically a Type I ecolabel or equivalent), and show the basis next to the claim where required.
- Generic claims: eco-friendly, green, climate friendly, environmentally friendly, sustainable (unscoped).
- Offset theater: climate-neutral stay or dinner based only on buying credits.
- Self-made labels: a "green stay" badge you designed is not a certification scheme.
- Surfaces: website, menu, OTA listing, ads, emails, in-room cards. Checkout leftovers for product brands live in the Shopify EmpCo audit.
Keep the vegan kitchen. Keep the named cert with ID and date. Put proof in a substantiation folder. Run leftover adjectives through the green claims calculator.
Steal this crawl sheet
One row per line. Owner plus GM or chef signs it. Keep the crawl live and re-run after any menu, OTA, or stay-page rewrite.
| Surface | Where to look | Action |
|---|---|---|
| Homepage / About / Sustainability | Hero, badges, footer | Keep / rewrite / delete |
| Stay or room pages + booking engine | Headers, amenity lists, rate names | Keep / rewrite / delete |
| Menu web, PDF, QR, printed | Headers, dish blurbs, icons | Keep / rewrite / delete |
| Google Business Profile | Description, attributes, Q&A | Keep / rewrite / delete |
| Google lodging attributes | veganMeals, vegetarianMeals | True / false / omit (see rules below) |
| OTA listing | Property description, sustainability free-text, self-made badges | Keep / rewrite / delete |
| Confirmation and pre-stay email | Subject, body, dietary line | Keep / rewrite / delete |
Log: surface, current copy, decision, swap line, proof file ID, owner, fix-by date. Screenshot before you edit. OTA extranets overwrite; save a local copy.
Banned phrases and swap lines
| Kill | Keep only if | Safer swap |
|---|---|---|
| Eco-friendly hotel / restaurant | Named Type I ecolabel or equivalent, on-site, current | Named cert + ID + year, or delete |
| Green stay / green dinner | Never as a headline | Kitchen scope, or a named practice (heat source, waste partner) |
| Climate-neutral stay or dinner | Not if the basis is offsets | Omit. Optional named contribution with rules from the checkout contribution guide |
| Homemade green / eco badge | Never | Third-party mark from a certification scheme, or no badge |
| Sustainable menu / eco burger | Named sourcing standard on that dish | Ingredient fact, or vegan/plant-based per the menu claims guide |
| Plastic-free property | Rooms, minibar, amenities, and ops match | Where plastic was removed, with photos |
| 100% vegan hotel | Kitchen, minibar, and in-room products have no animal inputs | Vegan kitchen / vegan breakfast, if that is the true scope |
| Towel reuse saves the planet | Never as climate copy | Housekeeping preference |
A vegan kitchen is not an environmental claim by itself. Do not stretch it into "eco hotel." Do not hide it either. "Kitchen is vegan. No animal products in breakfast or minibar." is a guest fact.
Google lodging veganMeals rules
Schema.org LodgingBusiness includes booleans veganMeals and vegetarianMeals. Google lodging / Hotel feeds often expose the same idea as filters. Treat the tick as a claim.
| Kitchen truth | veganMeals | vegetarianMeals | Copy instead |
|---|---|---|---|
| 100% vegan kitchen, guests can eat without asking | True | True (if vegetarian meals are also available as a matter of fact) | "Vegan kitchen. Named breakfast hours." |
| Named vegan dishes, mixed kitchen, reliable every service | True only if vegan meals are a regular advertised offering, not a one-off plea | True if vegetarian meals are standard | "Named vegan dishes. Kitchen is mixed." |
| Vegan-friendly on request, often fails when the chef is off | False. Do not tick | Only if vegetarian is actually standard | "We can discuss dietary needs before arrival. Kitchen is mixed." |
| Vegetarian hotel, vegan plate only if requested | False | True | "Vegetarian kitchen. Named vegan dishes: [list]." |
Over-ticking hides in filters until the first guest review. Under-ticking hides a true vegan hotel from "vegan meals" answers. Match the boolean to the menu guests actually receive. GBP dietary attributes must match the same truth; use the restaurant Google listing guide for Maps fields, then freeze the description in this crawl.
OTA listing and confirmation email
- The sustainability paragraph on Booking.com, Expedia, or similar is still your commercial practice. Paste the same keep / rewrite / delete decisions as the website.
- Self-made badges in the extranet fail the EmpCo sustainability-label rule. Third-party marks need a live cert. If you cannot open the file, take the badge down.
- Do not let the OTA stay "eco-friendly" after the brand site is cleaned. Assistants and guests compare both.
- Confirmation email: kitchen scope, arrival, cancel. No "thanks for booking a green stay." Pre-stay dietary questions are ops, not climate copy.
Direct-booking extras (breakfast, cancel window) belong in the direct bookings guide. This crawl only checks that those extras are not dressed as unscoped eco discounts.
What to measure (no invented lift)
- Count of EU-facing surfaces still carrying a banned phrase (target: zero generic eco lines)
- Lodging
veganMeals/vegetarianMealsmatch vs kitchen truth (pass / fail) - OTA vs website claim parity (same decision on both)
- Pre-arrival questions that reveal a scope mismatch (food or eco)
- Guest or regulator comments that mention greenwash, fake vegan, or bait badges
Do not paste a conversion %, occupancy lift, or "3x bookings after EmpCo rewrite" into the page. The artifact is a clean crawl sheet plus a frozen copy kit.
Scope beats silence
EmpCo punishes vague praise, not a true vegan kitchen. Name the cert, the heat source, or the plate. Delete the adjective you cannot open in a folder.
7-day actions
- Day 1: screenshot homepage, stay page, menu (web and PDF), GBP, OTA, last confirmation email. Start the crawl sheet.
- Day 2: mark keep / rewrite / delete using the banned-phrase table. Pull cert files into the substantiation folder.
- Day 3: rewrite website heroes and sustainability blocks. No homemade badges.
- Day 4: rewrite menu headers and dish blurbs. Dish vegan vs plant-based labels follow the menu-claims guide, not this sheet.
- Day 5: set lodging
veganMeals/vegetarianMealsand GBP description to the same kitchen truth. - Day 6: paste the frozen copy into every OTA extranet. Remove self-made sustainability badges.
- Day 7: update confirmation templates. Owner sign-off on the sheet. Counsel if you sell to EU guests and still want a remaining environmental claim.
Frequently asked questions
How should vegan hotels and restaurants keep website, menu, GBP, and OTA copy EmpCo-safe without going silent on sustainability?
Crawl homepage, stay pages, menu, Google listing, lodging vegan-meal attributes, OTA description, and confirmation email. Keep named certs and operational facts. Delete generic eco-friendly, green stay, climate-neutral, and homemade badge lines. Do not invent LCA numbers or go silent on a vegan kitchen you can prove.
Does EmpCo already apply to vegan hotels and restaurants?
Yes for B2C commercial practices aimed at EU consumers. Website, menu, OTA, ads, and emails count. HQ outside the EU does not exempt you if you market stays or meals to EU guests. This is ops, not legal advice.
Can we tick veganMeals on Google lodging if we are vegan-friendly, not 100% vegan?
No. Tick veganMeals only when vegan meals are a regular, advertised offering guests actually receive. A mixed kitchen that can try on request should say that in copy, not as a true boolean. Over-ticking is a claim risk and a review-bomb risk.
Do we have to go silent on sustainability?
No. EmpCo bans vague praise and offset-only climate-neutral lines, not true vegan kitchens or named Type I ecolabels. Swap adjectives for scoped facts: kitchen scope, cert ID and date, heat source, waste partner.
How is this different from the Shopify EmpCo checkout guide?
That guide is Shopify Markets checkout, shipping titles, and hang tags for product DTC. This one is hospitality: website, menu, GBP, lodging attributes, OTA listing, and confirmation email. Product ads still belong in the EU green claims guide.
